Our fields produce good food for the community, empower youth through vocational skills development, and serve as hands-on outdoor classrooms for over 5000 students each year. Fresh Roots is blooming - we have so many cool programs on the go we are looking for new team members to help us grow more food and engage more kids and youth in growing and eating good food!

The Position

The Operations Coordinator plays a key role in managing the day-to-day effectiveness of Fresh Roots Urban Farm Society, including our office systems, operations and human resources administration. The Operations Coordinator will play a collaborative role in developing and implementing systems that increase the effectiveness and efficiency of our work and support our ability to grow and expand impact. This is a position for someone who loves the details in life and has a natural tendency towards systems and organizing. You are hyper-organized, reliable, versatile, enjoy problem-solving and team interaction.

Responsibilities:

  • General office management & maintenance, including answering & forwarding inquiries, managing internal communications, correspondence, mail distribution, phone/internet, hardware/software systems, tech support, supplies, relationships with office vendors such as cleaners, security, office purchasing, etc.
  • Manage the day-to-day operations of the computer systems, including the regular back up of data, data management & organizational systems.
  • Provide administrative support to HR management including assisting with onboarding, HR document management, WCB and other reports.
  • Investigate, and recommend organizational filing and internal communication systems, both digital and physical.
  • Maintain impeccable files, developing and following Fresh Roots’ procedures.
  • Maintain an employee guide, setup and orient new employees to company culture, technology, policies, office systems etc.
  • Maintain, administer and train others on effective use of platforms and file management systems.
  • Analyze and organize office operations and procedures to increase efficiency and productivity.
  • Support with year-round communications to donors, i.e. thank-you cards, invitations.
  • Assist in the planning and delivery of community & fundraising events, including coordinating online ticket sales.
  • Provide administrative support to the Executive Director in support of board governance activities, filings required for compliance with the BC Societies Act, management of membership records, etc.
  • Help plan and coordinate internal events such as AGM, strategic retreats and team functions.
  • Provide administrative support to program managers for scheduling and booking programs, registrations and logistics coordination.

Qualifications

  • Secondary school diploma paired with real world experiences in a relevant field (e.g. operations, administration, communications, marketing)
  • 2+ years demonstrated office administration and/or operations experience

Technical Skills

  • Excellent computer skills including proficiency in social media applications, Mailchimp, Microsoft Office suite, spreadsheets, internet and email applications
  • Strong written and verbal communication skills
  • Very high attention to detail
  • Experience with Wordpress, an asset
  • Experience working with CRM systems, an asset

Key Details

Part-time position, 15-20 hours per week at $17.50-$19.50 per hour. Possibility of additional hours during summer months.
