Position: Office Manager
Organization: Richmond Food Bank
Location: Richmond, Greater Vancouver BC

Reporting to the Executive Director (ED) the Office Manager processes financial, accounting and payroll transactions. The Office Manager examines and reconciles accounting and financial records as well as documents such as bank statements and expenditures; ensures accuracy and compliance with accounting, reporting and payroll policies and procedures; provides reception and front line assistance to clients, donors and visitors to RFB and performs various administrative tasks according to the needs of RFB.

Responsibilities:

Accounting Administration

  • Administers accounts. Acts as resource person and resolves problems. Prepares journal and ledger entries. Processes or monitors the processing of financial and accounting transactions. Examines and analyses accounting and financial records and documents such as bank statements, expenditures, budgets, loans and others
  • Accepts donations
  • Makes bank deposits, prepares receipts and cheques
  • Monitors and reconciles various accounts, statements, and reports. Identifies and analyses discrepancies and errors. Makes corrections, processes adjustments and follows up on problems. Audits outstanding items
  • Verifies the completeness and accuracy of documentation
  • Works with Board treasurer to prepare quarterly statements for the Board of Directors
  • Prepares schedules, reports and financial statements. Supplies information and documentation to auditors
  • Works with Board treasurer and auditors to prepare annual financial reports
  • Assists ED with developing annual operating budget

Front Office Administration and Client Relations

  • Responds to donor and client and general public inquiries by phone and in-person. This includes: resolving client issues and conflicts, registering clients, providing tours and acting as interpreter when required
  • Enters data and updates information on spreadsheets and databases
  • Performs various administrative and clerical tasks according to the needs of the organization.
  • Prepares correspondence related to the duties of the position. Liaises with appropriate resource persons
  • Attends PR events and cheque presentations

Purchasing

  • Keeps inventory for bulk buying
  • Maintains relationships with wholesale suppliers, retail grocers, and printers.
  • Researches and negotiates prices
  • Makes bulk buying purchases in consultation with the ED for non-routine purchases

Event Coordination

  • Determines tasks and coordinates volunteers for mail-outs and communication campaigns
  • Liaises with and manages purchases for Tzu Chi Foundation’ Winter Relief program
  • Organizes and manages special projects as needed, such as Seniors Knitting Group
  • Co-manages volunteer events with Volunteer Coordinator
  • Assists with the annual Dragon Boat Festival

Operations Support

  • Provides tours to volunteers, community groups, and donors as required
  • First Aid attendant

Additional administration duties as required

Qualifications:

Education and Experience

  • Two years of post-secondary education in a related discipline and including courses in office administration, bookkeeping and payroll administration.
  • 2 – 3 years of office experience
  • First Aid certification

(or an appropriate combination of education and experience)

Skills

Concrete demonstrable skills include:

  • Excellence in accuracy of data input and detailed reconciliation of ledgers and accounts
  • Effective communication skills, both written and oral and to a wide variety of audiences
  • Handling client situations, using tact and the ability to diffuse situations
  • Computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs at a highly proficient level
  • Ability to work effectively with diverse groups of people (staff, volunteers,, donors, politicians, community groups)
  • Strength in time management and organization
  • Passion and support for community services and a desire to contribute to a positive, caring and supportive environment
