Position: Administrative Assistant
Organization: Capital Region Food and Agriculture Initiatives Roundtable

Job Purpose

This position will be an integral member of the organization’s leadership team providing critical support in the administration of CRFAIR and its partner initiatives, the South Island Farm Hub and Capital Region Food Hub. The Administration Assistant will support both the Operations Manager and Executive Director, as well as lead special initiative projects to develop organization infrastructure as we continue to grow and evolve to serve our mission to mobilize and connect efforts to develop healthy, equitable and sustainable food systems in the Capital Region.

You are not afraid of spreadsheets, databases, online communication platforms, data entry, bookkeeping, and Google Platforms. You value your team and work through challenges with empathy and humour.

Duties & Responsibilities

This position will work directly with the Operations Manager and Executive Director in carrying out the following:

  • Record keeping, data entry, scanning, filing, and document management.
  • Mailing.
  • Scheduling meetings and updates using various platforms.
  • Inventory and purchasing for office and events.
  • Governance administration support.
  • Accounts payable and accounts receivable
  • Light bookkeeping.
  • Banking duties.
  • IT support including working with suppliers and responding to team information requests.
  • Support the Operations Manager in developing and instituting new systems and processes as the organization evolves.
  • Special initiatives support (and possible lead). Upcoming projects include: development of operations manual, support updating organization wide policies and procedures, CRM onboard and integration.
  • Other duties as they relate to the position.


  • Excellent communicator, both verbal and written.
  • Comfortable and experienced using PC computers, Microsoft office suite, GSuite and Gmail, and associated business platforms.
  • Experienced with digital filing systems.
  • Familiar with basics of managing accounts payable, or willingness to learn. Preference given to those with light bookkeeping experience, including platforms like Quickbooks Online.
  • Strong writing and editing skills.
  • Experience using CRMs, preference given to those with experience in organizations during CRM onboarding.
  • Errands in the community requiring transportation.
  • Ability and interest in working independently on special projects.
  • Highly organized with exceptional attention to detail.
  • Adaptable and mentally flexible, positive, and eager to learn.
  • Creative thinker and problem solver who looks for solutions in the face of challenges.
  • A collegial team player who works well with diverse and occasionally remote teammates.
  • Preference for those with an interest in food security and the non-profit/social enterprise sector.
  • A high school diploma is required with preference given to those with applicable post secondary experience and education.

Working Conditions | This is a flexible position that can include working from home as well as in office. Until health restrictions are listed, this position will work remotely at home. Office equipment and supplies, including computer, will be provided. Office/work hours are between 9am – 2pm Monday to Friday with some flexibility to accommodate work-life balance. Work hours also include some occasional evening and weekend work for special events or meetings.

A portion of the work will include errands carried out in the community. The successful candidate will be required to use their own vehicle/transportation when needed.

Physical Requirements | Light physical requirements include desk work. Moving office supplies up to 10 lbs.

Employee Package | Internet and phone allowance, while working from home. After completion of successful probationary period: Three weeks paid vacation and financial contribution in lieu of Group Health Care Benefits and matching RRSP contributions as per organizational employee policy.

Compensation | This is a part-time position of 25 hours per week, the wage starts at $23 per hour. Potential to become a full-time position after a three month probation period.
