- Wage: $24.36/hour
- Schedule: 20 hours a week, Monday – Thursday, 10:00 AM – 3:00 PM

ROLE SUMMARY
LUSH Valley is seeking an Administrative Assistant to support the day-to-day functioning of our office and serve as the first point of contact for the organization.
This is a front-facing, in-person role responsible for managing the front desk during open hours, responding to public inquiries across multiple channels, and supporting the day-to-day administrative and operational needs of the organization. Responsibilities include answering phones, monitoring the support email and social media messages/comments, assisting walk-in visitors, processing registrations and payments, and supporting general office coordination and organization.
This role is well-suited to someone who is highly organized, approachable, and comfortable working in a dynamic, fast-paced environment with many moving pieces. The ideal candidate has experience with office administration, including spreadsheets, databases, and Google Workspace. The successful candidate will play a key role in keeping daily operations running smoothly and will be supervised by the Communications and Administrative Manager.
ROLE RESPONSIBILITIES
FRONT DESK (35%)
- Serve as the first point of contact for the organization, representing LUSH Valley as a welcoming and professional presence to all who interact with the organization
- Respond to general public inquiries across phone, email, in-person, and social media channels, directing inquiries to appropriate staff as needed
- Monitor and manage the office phone and support email inbox, ensuring timely responses and appropriate internal follow-up
- Monitor and respond to social media messages and comments in a timely and professional manner
- Manage incoming and outgoing mail
- Maintain a clean, organized, and welcoming office environment and shared spaces
- Direct inquiries to appropriate staff as needed
OFFICE ADMINISTRATION and OPERATIONS (35%)
- Monitor and restock office supplies (printer paper, ink, cleaning supplies, etc.)
- Complete bank deposits and support petty cash and cash float tracking
- Send staff meeting reminders and other internal coordination emails
- Take notes/minutes at staff meetings and other meetings as required
- File documents and maintain organized digital (Google Drive) and physical filing systems
- Support donor administration by sending thank-you messages and maintaining basic records in donor databases
- Support during fundraising campaigns (outreach, etc)
- Support light cleaning and upkeep of shared spaces (e.g. dishwasher, laundry, general tidiness)
- Coordinate bookings, scheduling, and administrative processes for commercial kitchen, venue, and office rentals
- Complete other administrative or operations tasks as required to support day-to-day office functioning
- Support Administrative Manager as needed and while away from the office
STAFF and SYSTEMS SUPPORT (30%)
- Process registrations for various workshops over the phone and in-person via Eventbrite
- Process payments (credit, debit, eTransfer and cash) over the phone and in-person via Square
- Provide basic technology and systems support to staff (Google Workspace, printers, simple computer troubleshooting), escalating to a repair service where necessary
- HR support - handle incoming job applications; post job postings; administrative onboarding for new hires
- Coordinate volunteer outreach team for as needed for events
- Assist with planning and on-site support for events (e.g. AGM, volunteer appreciation)
- Support staff with administrative processes and tools as needed
- Assist with small administrative tasks such as data entry across programs
- Support with Good Food Box pickups as needed
- Provide support while other staff are on vacation or leave

SKILLS and ABILITIES
- Friendly, approachable, and able to work with a wide range of community members
- Strong listening skills and ability to accurately capture information (e.g. note-taking, relaying messages)
- Positive, collaborative attitude and ability to build positive working relationships
- Strong written and verbal communication skills
- Highly organized with strong time management skills and attention to detail
- Able to prioritize, multitask, and stay organized in a fast-paced environment
- Self-directed, with the ability to take initiative and follow through on tasks
- Ability to work independently and as part of a team
EXPERIENCE and QUALIFICATIONS
- Experience in reception, customer service, or administrative roles
- Working knowledge of Google Workspace (including Google Drive, Google Docs, and Google Sheets)
- Comfortable using basic office technology and troubleshooting simple issues
- Working knowledge of WordPress an asset
- Experience working in a busy or front-facing environment is an asset
- Non-profit experience is an asset
- Food systems knowledge an asset
- Criminal record clearance required
WORK ENVIRONMENT
- This is a fully in-person role based at our main office
- This role requires consistent presence at the front desk during open hours
- The office is an active, shared and collaborative workspace
- The environment can be busy and noisy at times, with frequent interruptions
