Position: Operations Manager
Organization: Urban Bounty
Location: This position is based out of the Urban Bounty office in Paulik Park in Richmond, BC. Travelling around Richmond and Metro Vancouver may be required for meetings and events. Virtual work from home is possible on an Urban Bounty laptop with advance notice and as agreed upon by the Executive Director.

The Operations Manager will report directly to the Executive Director (ED) and will support, develop, and maintain processes for Events, Workshops, Communications, Membership, Volunteers, as well as financial systems and grant development/strategic funding.

This role will support day-to-day internal operations and lead the development and implementation of effective and efficient financial tracking systems. The Operations Manager will also support organizational priorities like fundraising and grant writing. This role is ideal for someone who is dependable, adaptable, and is looking to be a core part of a small team at a key time of organizational growth. The successful candidate must have a strong inclination for project management, organization, operations, and team culture; with strong value alignment with JEDDI principles (justice, equity, diversity, decolonization, and inclusion).

Responsibilities

Financial Management and Fundraising (50%)

  • Update, maintain, and support internal financial processes and maintain financial records
  • Oversee supplier payments and employee reimbursement for expenses and mileage claims
  • Manage invoicing, including tracking payment schedules, preparing invoices, and following up on due payments. Prepare regular bank deposits.
  • Develop financial management systems for budgeting and administration across projects and various funding sources
  • Work with the bookkeeper to close out financial records for the month, ensuring all revenues, expenses, and transactions are accurately recorded and reconciled
  • Support organizational fund development and fundraising; including identification of funding sources and writing, reviewing, submitting, and reporting for grant applications
  • Support ED in financial planning, research, and modeling of best practices
  • In concert with the ED, prepare reports for the Finance Committee of the Board of Directors and work with the committee to responsibly steward Urban Bounty’s finances

General Operations & Team Support (30%)

  • Support the Executive Director to ensure organizational compliance with all applicable laws and regulations
  • Develop, implement, and review organizational systems, policies, and procedures to ensure organizational efficiency and alignment with current and future needs with a JEDDI lens
  • With the Community Programs Manager, manage and maintain databases of accounts, individuals and organizations, guest workshops, corporate volunteer events, and more
  • Answer and respond to office phone calls and general emails, and assign to appropriate team members as needed
  • Maintain and increase a robust membership program through scheduled campaigns in collaboration with the Community Programs Manager and other staff
  • Maintain office supplies and inventory of equipment
  • Manage and champion the implementation and use of new and existing IT and project management systems that improve organizational efficiency, including training staff and offering internal IT support
  • Prepare executive summaries, reports and presentations.

People & Culture (20%)

  • Lead the review and maintenance of Urban Bounty’s HR policies and procedures, manuals, and onboarding materials
  • Support with the hiring of new staff, including the development of job descriptions, recruitment, interviewing, onboarding and training, as required
  • Assist Executive Director with payroll; including overseeing Rise People platform administration, and issuing ROEs and T4s
  • Support team development, including identifying and coordinating opportunities such as team retreats, pro-d opportunities and other opportunities to build a culture of team care and shared learning
  • Develop, implement, and maintain standard operating procedures
  • Increase the efficiency of existing processes and procedures to enhance the Urban Bounty’s internal capacity

Requirements

  • Minimum 2 years of operations or financial management experience
  • Demonstrated experience in community-based work in non-profit or charitable organizations
  • Ability to articulate the principles of organic gardening, food security, and sustainability
  • Proficient with Google Suite, Microsoft Office, Quickbooks Online, Customer Relationship Management systems, and ability to learn new technologies
  • Ability to work flexible hours, including some evenings and weekends
  • Some experience in fund development and grant writing
  • Excellent customer service skills for public interactions via phone, email, online, and in-person
  • Have or ability to get:
    • Criminal record check with vulnerable sector search

    • Emergency First Aid

Location: This position is based out of the Urban Bounty office in Paulik Park in Richmond, BC. Travelling around Richmond and Metro Vancouver may be required for meetings and events. Start date: July 2, 2026

Hours: Ranging from 24-30 hours per week (3-4 days), permanent. The office is open Mon-Fri 9:00 AM to 5:00 PM however, there is flexibility in the schedule that the Operations Manager observes. There may be events on the weekends, so a shifting schedule is possible. Hours of work to be discussed and agreed upon with the Executive Director. A healthy work/life schedule is encouraged.

Pay: Starting at $29/hour during the first six months, and then a lift to $30/hour for the balance of year one. Vacation Days are calculated at a rate of 4% on top of the hourly rate (2 weeks vacation = 10 working days) and Wellness Days calculated at 2% on top of hourly rate (1 week wellness = 5 working days). Therefore, prorated two work weeks annual vacation + prorated one work week annual wellness days. A health stipend of $36/month is provided.

Year Two - Pay increase to $32/hour with three work weeks annual vacation + ten annual wellness days + $500 professional development credit + $36/month health credit + paid work anniversary day off + paid birthday off

Year Three - Increase based on CPI and performance.
